WhatsApp Appointment Booking for Clinics in India (2026)
Plenty of patients would rather send a WhatsApp message than wait on hold. Here is how a clinic can take bookings on WhatsApp, the rules that decide what you can send, and which parts to automate.
Why patients reach for WhatsApp
For many patients, WhatsApp is already where they talk to family, their child's school and the local shops. Sending a message is easier than calling a busy line and waiting:
- No waiting on hold. They type when it suits them, late at night included, and read the reply later.
- A record they keep. The date, time, doctor and address sit in the chat, easy to find on the day.
- Their own language. People type in their own language, or in Hindi or Tamil written in English letters, without having to explain themselves to a stranger on the phone.
- Easy to share. A son booking for his father can forward the confirmation straight to him.
Not everyone wants to type, though. WhatsApp adds a door; it does not replace the phone.
WhatsApp Business app or WhatsApp Business Platform?
Meta offers two ways for a business to use WhatsApp, and they suit different clinics.
| Compared on | WhatsApp Business app | WhatsApp Business Platform |
|---|---|---|
| What it is | A free app, like WhatsApp itself, with a business profile | A connection between WhatsApp and software, set up through Meta or a provider |
| Who replies | A person, from the phone and a few linked devices | Software, a team of staff, or a mix |
| Automation | A greeting message, an away message and saved quick replies | Automatic replies, reminders and links to your other systems |
| Cost | Free to use | Meta charges for some messages, and providers usually add their own fee |
| Suits | A single clinic whose receptionist can keep up with the chats | Clinics with more messages than one person can answer, or several branches |
Meta's rates depend on the kind of message and the country, and they change from time to time. Check current pricing with Meta or your provider before you plan around it.
Templates and the 24-hour window, simply
Two rules on the WhatsApp Business Platform decide what a clinic can send, and when.
The 24-hour customer service window
When a patient sends you a message, a 24-hour window opens. Inside it you can reply however you like: answer questions, offer slots, confirm a booking. Each new message from the patient restarts the clock.
Message templates
Once the window has closed, you cannot send a free-form message. You can start a conversation only with a template: a message you write in advance, with blanks for details such as the patient's name, the doctor, the date and the time, and submit to Meta for approval. A reminder template might read: "Hello Priya, this is a reminder of your appointment with Dr. Rao on Friday at 10:30 AM at Shanti Clinic." The names here are illustrative.
Meta sorts templates into categories. Appointment reminders and booking confirmations normally count as utility messages. Offers and health camp announcements count as marketing, which Meta reviews and prices differently.
Opt-in
Message only patients who have agreed to hear from you on WhatsApp. The simplest way is to ask at booking or at the counter, and note the answer against their number. People report and block messages they did not ask for, and enough of those can restrict what your number is allowed to send.
What to automate, and what to keep human
| Automate | Keep with a person |
|---|---|
| Timings, fees, address and directions | Anything about symptoms, reports or medicines |
| Which doctor sits on which day | Complaints and billing disputes |
| Booking confirmations and reminders | A patient who is upset or confused |
| Offering the next free slot | Anything that sounds like an emergency, which should get an immediate reply telling them to call 112 |
A patient who sends a photo of a report and asks whether it is serious should never get an automatic answer. Send those to your staff, and set a clear rule for how quickly someone replies. Keep reports out of chat where you can, and never put a diagnosis in a reminder.
Voice and WhatsApp together
Some patients will always call, especially for a same-day slot, and some find saying something in their own language easier than typing it. What matters is one set of facts behind the phone and the chat: the same doctors, days, timings and fees, so a patient gets the same answer whichever way they reach you.
Keep the two connected, too. A patient who cannot get through on the phone may message instead, and one who messages at night may call in the morning. Whoever handles one should be able to see the other. If calls are slipping through at your clinic, read what to do about missed calls.

Frequently asked questions
Is WhatsApp booking allowed for clinics in India?
Yes. Clinics can use WhatsApp to take and confirm appointments. Message only patients who have agreed to hear from you, follow WhatsApp's business and commerce policies, and be careful with sensitive details: a booking confirmation does not need a diagnosis or a report in it.
What is the difference between WhatsApp Business and the WhatsApp Business Platform?
The WhatsApp Business app is a free app for small businesses, run by a person from a phone. The WhatsApp Business Platform connects WhatsApp to software, so messages can be answered automatically or by several staff at once. It is usually set up through a provider, and Meta charges for some messages.
What is the 24-hour window on WhatsApp?
On the WhatsApp Business Platform, a patient's message opens a 24-hour customer service window. Inside it you can reply freely. After it closes, you can start a conversation only with a message template Meta has approved, such as an appointment reminder. Each new message from the patient opens the window again.
Can I send appointment reminders on WhatsApp?
Yes, on the WhatsApp Business Platform, using an approved message template and only to patients who have agreed to receive messages from you. An appointment reminder normally falls in Meta's utility category. Include the doctor, date and time, and a simple way to confirm or ask to reschedule.
Should a clinic use WhatsApp or phone calls for appointments?
Offer patients a choice. Some prefer to type, others to talk, and some find a call easier when typing in their own language is hard. Keep one set of doctors, timings and fees behind the phone and the chat, and make sure a booking made on one is visible to whoever handles the other.
